Terms of Service

NOTE

This is a working draft written to plainly describe how Timesheets actually operates today, not a substitute for review by a lawyer in your jurisdiction. Treat it as a real starting point, not a finished legal instrument — the bracketed governing law in Section 13 in particular needs a real answer before this should be relied on in a dispute.

1.Acceptance of these Terms

These Terms of Service ("Terms") govern access to and use of Timesheets (the "Service"), operated by 8WhiteRock ("8WhiteRock," "we," "us," or "our"), available at jobtimesheet.online. By creating an organization, accepting an invitation to join one, or otherwise using the Service, you agree to these Terms on behalf of yourself and, if you're creating an organization, on behalf of the organization you're enrolling.

If you don't agree to these Terms, don't use the Service.

2.What the Service is

Timesheets is a web application for logging work hours, routing them through a configurable approval chain, and exporting approved hours for payroll. An organization's Owner configures the approval chain, invites team members, and manages the organization's account; invited people log their own hours and, depending on their role, review and approve others'.

3.Accounts and organizations

Creating an organization makes you its Owner — you're responsible for the accuracy of the organization's setup (its approval chain, its team, its configuration) and for who you invite into it. Each invited person is responsible for keeping their own login credentials confidential and for activity that happens under their account.

You must provide accurate information when creating an account and keep it current. You're responsible for all activity that occurs under your organization's account, including actions taken by people your organization invites.

We may suspend or terminate access for a violation of this section, generally with notice where practical, immediately where necessary to protect the Service or other organizations using it.

5.Your data

Whatever your organization enters into the Service — time entries, approval notes, team names, pay rates, project and job details — belongs to your organization ("Customer Data"). We don't claim ownership of it, and we don't use it for any purpose other than providing the Service to you, as described in the Privacy Policy.

You're responsible for the accuracy and legality of Customer Data your organization submits, and for having any rights or consents needed to have your employees' work and pay information processed through the Service.

6.Plans and payment

The Service is offered on a Free plan and paid plans (currently Growth and Business), differing only in how many active people an organization can have — see the pricing shown on the marketing page and inside Settings for current details, which may change from time to time. Paid plans are billed monthly in advance through Stripe, our payment processor; we don't store your payment card details ourselves.

You can upgrade, downgrade, or cancel a paid plan at any time from Settings. Cancelling reverts the organization to the Free plan going forward — nothing already active is retroactively removed, and we don't provide refunds for partial billing periods except where required by law.

An organization already granted a higher active-user limit than its current plan alone provides (a manually set floor) keeps that floor regardless of plan changes, unless we notify you otherwise.

7.Data retention and deletion

An organization's Owner can configure how long closed timesheets remain in the default view before being archived (never deleted by this alone). An organization can be permanently deleted, which removes its data from active use; residual copies may persist briefly in backups before they age out through our infrastructure providers' normal backup rotation.

8.Availability and support

We're a small team building this hands-on, and we pay close attention to how it's running — but the Service is provided as-is, without a formal uptime guarantee or committed support response time. We'll do our best to keep things running and to help when something goes wrong, but this section is what actually governs, not that intention alone.

9.Disclaimer of warranties

To the fullest extent permitted by law, the Service is provided "as is" and "as available," without warranties of any kind, express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We don't warrant that the Service will be uninterrupted, error-free, or free of harmful components.

10.Limitation of liability

To the fullest extent permitted by law, 8WhiteRock will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, revenue, or profits, arising from or related to your use of the Service, even if advised of the possibility of such damages. Our total liability for any claim arising from the Service is limited to the amount you paid us for the Service in the 12 months before the claim arose, or $100 if you're on the Free plan.

Nothing in this section limits liability that can't be limited under applicable law.

11.Indemnification

You agree to indemnify and hold 8WhiteRock harmless from any claim, loss, or damage, including reasonable legal fees, arising from your organization's use of the Service, your Customer Data, or your violation of these Terms.

12.Changes to these Terms or the Service

We may update these Terms from time to time; the "last updated" date at the top reflects the most recent change. We may also change, suspend, or discontinue features of the Service, though we'll try to give notice of anything materially disruptive where practical. Continued use after a change to these Terms means you accept the updated version.

13.Governing law

These Terms are governed by the laws of [state/country to be specified], without regard to its conflict-of-law principles.
